Fixing “File Check-Out Error” – A Step-by-Step Guide

A “File Check-Out Error” occurs when trying to check out a file for editing in SharePoint, OneDrive, Google Drive, or other document management systems. This error prevents users from editing, saving, or modifying the file, leading to workflow disruptions.

Common Error Messages:

  • “This file is currently checked out by another user.”
  • “You do not have permission to check out this file.”
  • “Error checking out file. Please try again later.”
  • “File is locked for editing by another user.”

Step 1: Identify the Cause of the Error

Possible Reasons for the Error:

File is already checked out by another user – Another person has the file open for editing.
Lack of permissions – You do not have sufficient access to check out the file.
Network or sync issues – The file is not properly syncing with the document management system.
File is locked – A background process or application has locked the file.
Corrupt cache or temporary files – Stored cache files may be preventing the file from being checked out.


Step 2: Check If the File Is Already Checked Out

If the file is already checked out by another user, you may not be able to edit it until they check it back in.

Method 1: Check File Status in SharePoint

  1. Navigate to the SharePoint Document Library where the file is stored.
  2. Look for a check-out icon (a small arrow on the document).

  1. Open File Explorer and navigate to: C:\Users\YourUsername\AppData\Local\Microsoft\Office\SPDCache
  2. Delete all files inside the folder.

Step 7: Use a Different Browser or Incognito Mode
